TERMS AND CONDITIONS: Joining the Team
Applications will be checked and reviewed on the first day of each month. By showing interest in working in Spectra, you have read and understood the purpose and description of this organization in the “About Us” section. Furthermore, we require that you understand the purposes and requirements of each committee. The general time commitment for each committee is 4~6 hours per month as a regular member. Leadership roles will take more time due to additional management jobs. The minimum time requirement for membership in Spectra is 6 months. Every 6 months, every member has the option to continue for another 6 months or to drop out from the organization. If a member/head were to drop out before finishing their required time, they will not be able to join again unless Muchang Bahng approves.
The following explains the purposes, roles, and expectations of each committee:
Writers
Purpose: To supply a consistent stream of information to be publicized on the website through any informal means of media (such as articles or blogs).
Expectations:

Each member will follow the directions of the head of the writers’ committee regarding any assignments. Failure to complete the assignments on time may result in expulsion from Spectra.

Each member will be required to submit at least 1 article per month. Each article must be approved beforehand by the head of the writing committee or the CEO of Spectra by the last day of each month at 11:59 PM. Each article must be at least 1000 words and contain 1 picture/video and a bibliography, if applicable.

In a 6 month term, 3 of the articles that you post must contain an original idea or argument. While we do want to share interesting information about our passions, we also want to avoid restating what is already said on other websites. You must label these types of articles with an asterisk (*) placed at the end of the topic title in the “Topic Planning Document for Articles” sheet.

You must properly cite sources in your article if needed. Failure to do so may result in expulsion.
Editors
Purpose: To improve the pieces of writing produced by the writing committee by checking for grammatical errors, proper citations, and improvements on the prose.
Expectations:

Each member must follow the directions of the head of the editors’ committee regarding any assignments. Failure to comply may result in expulsion from Spectra.

Each editor will be assigned 2~3 articles per month, each from different authors. Editors must effectively collaborate with their chosen writers to improve the writing by providing suggestions and making corrections. You must write your name in the “Topic Planning Document for Articles” next to the article that you want to edit to reserve your spot. You may only sign up for articles that have been approved (labeled in the document). You may not take other editors’ reservations, and multiple editors are not allowed to work on one article unless given permission by the head of the committee or the CEO of Spectra.

Once finished, the revised articles will be read and approved or denied by the CEO of Spectra. If an article is denied, the editor and writer will be given an additional 48 hours to correct the article and re-submit it as many times as needed for approval. If corrections are not completed by then, one or both parties must face make-up work (determined by the heads of the committees and/or the CEO of Spectra) or face expulsion from Spectra. If approved, the articles will be sent to the technology committee for publication.

An editor is required to use an online plagiarism checker to make sure that each article is has under 20% similarity to other articles. It is the editor’s responsibility to ensure that the plagiarism checker is reliable and accurate in its results.
Media
Purpose: To publicize Spectra through advertisement and promotional videos.
Expectations:

Each member will follow the directions of the head of the media committee regarding any assignments. Failure to complete the following assignments may result in expulsion from Spectra.

All members are required to advertise Spectra by sharing posters presented to them on social media. The entire committee is also required to maintain a consistent addition of likes and views on the Spectra facebook page, which will be checked on the last day of each month.

Subcommittee #1: This subcommittee will be in charge of reaching out to invite additional members to the organization. There will be a minimum number of people this committee is required to invite. Additionally, this committee will review the applications for Contact, Submitting One’s Work, and Working with Us in the Spectra email.

Subcommittee #2: This subcommittee will be in charge of managing the Spectra Facebook Page, sharing various articles and research papers writers have written with a brief description of each at a consistent rate over the course of the month. This committee must post all of the submitted and approved articles written by the writing committee. They are also required to post publicly submitted articles.

Subcommittee #3: This subcommittee will be in charge of photography and video filming for promotional videos. However, they do not need to edit the videos. A minimum footage gathering time of 2 weeks will be given for this job.
Technology
Purpose: To manage/design the Spectra website, design posters, and make promotional videos.
Expectations:

Each member will follow the directions of the head of the technology committee regarding any assignments. Failure to complete the following assignments may result in expulsion from Spectra.

Subcommittee #1: People in this subcommittee will consistently help in managing and designing the website. These website managers will be be in charge of publishing articles that the CEO of Spectra has approved. Articles submitted by the end of one month must all be published by the end of the next month on the website. This subcommittee will also check the submitted articles for plagiarism again. If the plagiarism is over 20%, it will be sent back to CEO of Spectra, who will send it back to the editor. Additionally, if there are any technical problems or errors in the website, this subcommittee must fix that error 72 hours after notice.

Subcommittee #2: People in this subcommittee will design posters for advertising Spectra. Specific requirements will be given for each kind of poster. A minimum work time of 3 days will be given to design posters. If there is an error with the poster or if the poster does not meet expectations of the head, an additional 48 hours will be given to correct them and get it approved. Failure to do so will lead to make-up work (determined by the heads of the committees and/or the CEO of Spectra) or expulsion from Spectra.

Subcommittee #3: People in this subcommittee will edit and create promotional videos using scenes that the media committee has filmed. A minimum work time of 2 weeks will be given to complete these tasks. Videos will be checked and either approved or denied by the CEO of Spectra. If denied, the video editors will be given an additional 72 hours to fix and edit the video and re-submit it as many times as needed for approval. Failure to do so will lead to make-up work (determined by the heads of the committees and/or the CEO of Spectra) or expulsion from Spectra. If approved, the video will be published by Technology division Subcommittee #1.
*All committees must be respectful in the Spectra chat group, Facebook group, and Facebook page. You can not spam or talk excessively about topics not related to Spectra in there.
Expulsion from the committee before the minimum 6 month time period will result in all of your works being taken down from the Spectra website, along with your “about the author” page. You will not be allowed back into Spectra again. Leaving the organization after the 6 month time period will not result in these penalties, and you may rejoin Spectra at a later time.
You may change subcommittees or committees when both the head of your committee and the CEO of Spectra approves your request. You may only request to change once you have completed all assignments for the contemporary month. However, the heads and CEO retain full rights to decline your request if we deem that your change in groups may cause an imbalance in the work distribution.
All members except heads will have full rights to decline any additional assignments not mentioned in this Terms and Conditions document. Heads of committees may need to help in extra assignments concerning the management of the organization.
All members who have writing jobs are highly recommended to download Grammarly. It is a free online grammar checker that functions as a background process, suggesting edits for any writing you do online.
While writers have the job of creating informal articles, every member is welcome to create a research paper, requiring that they follow the guidelines.
We welcome any requests for extensions. However, the heads reserve the right to decline any extensions requested by a member. If 75% of an assignment work time has passed, a member cannot request for an extension. In the case of an emergency, please contact the CEO of Spectra for extensions. Emergency situations does not include (and is not limited to) school work, extracurricular activities, and trips.
